How a Kanban Pipeline View Transforms Your Sales Process

A visual pipeline is one of the most powerful tools a small business sales team can use. Here's how to set one up and what to do with it.

Before visual pipeline management was common in CRM software, sales tracking meant spreadsheet rows and status columns. You could see the data, but you couldn't feel the shape of the pipeline. How heavy is the proposal stage? Where are deals stalling? How full is the top of the funnel?

What a Kanban Pipeline Is

Kanban is a visual workflow system borrowed from manufacturing. In a sales context, it's a board with columns representing stages in your sales process, and cards representing individual deals. You drag cards from left to right as deals progress.

The visual layout is the point. At a glance, you can see:

  • How many deals are in each stage
  • The total value of deals in your pipeline
  • Where things are piling up (too many cards in one column is a signal)
  • Which deals haven't moved recently

This is information you could technically derive from a list view, but the visual format makes it immediate and intuitive.

Setting Up Your Pipeline Stages

Start simple. Most small businesses run well with five to six stages:

  1. Lead -- someone who's expressed interest but hasn't been qualified
  2. Qualified -- you've spoken with them and confirmed they're a real opportunity
  3. Proposal Sent -- you've submitted a quote or proposal
  4. Negotiating -- active back-and-forth on terms or pricing
  5. Closed Won -- done, paid, moving forward
  6. Closed Lost -- didn't go through, with a note on why

You can always add stages later. Starting with too many creates noise.

Using the Pipeline as a Management Tool

The pipeline view isn't just for salespeople. As a founder or manager, it's a weekly check-in tool. Scan the board: what's been in "Proposal Sent" for more than two weeks? What's been in "Qualified" for a month without a proposal going out? Those are the deals that need attention.

This kind of visibility used to require a pipeline review meeting. A good Kanban board makes it a five-minute solo review.
