How to Import Your Contacts Into a New CRM Without Losing Your Mind

Migrating to a new CRM doesn't have to be a multi-week project. Here's a step-by-step approach to importing your contacts cleanly and starting strong.

The most common reason people put off switching to a better CRM is data migration anxiety. The contacts exist somewhere -- in a spreadsheet, in an old CRM, in a vCard export, in your phone -- and getting them into the new system feels like a project you don't have time for.

In practice, it's usually a couple of hours of focused work. Here's how to approach it.

Step 1: Decide What to Import

You don't have to import everything. In fact, you shouldn't.

Start by asking: which contacts am I actually managing right now? Active clients, hot prospects, key referral partners, and important vendor relationships. That's your working set.

Old leads who never responded, contacts from five years ago you haven't spoken to, duplicate entries -- leave those out. You can always add them later if you find you need them.

A focused import of 100 clean contacts is more valuable than a bloated import of 1,000 messy ones.

Step 2: Clean Your Source Data

Whether you're exporting from a spreadsheet, a previous CRM, or a contact app, run a quick cleanup before you export:

  • Remove obvious duplicates
  • Standardize phone number formats
  • Make sure email addresses look right (no obvious typos)
  • Fill in company names where they're missing
  • Remove contacts with no usable contact information

This takes 30 to 60 minutes but saves hours of cleanup inside the new CRM.

Step 3: Map Your Fields

Every CRM uses slightly different field names. Before importing, check what fields your new CRM supports and map your column headers accordingly.

For ContactHoney, the standard import fields are: First Name, Last Name, Email, Phone, Company, Title, Address, Tags, and Notes. Export your data with those column headers and the import will be clean.

If you have custom data that doesn't fit a standard field, use the Notes column during import and clean it up afterward.

Step 4: Import a Test Batch First

Before importing your full list, import 10 to 20 records and verify they look right inside the CRM. Check that emails are in the right field, that names formatted correctly, that tags applied as expected.

Catching a field mapping error on 15 records is a minor fix. Catching it after 500 records is a cleanup project.

Step 5: Import the Full List

Once your test batch looks good, import the rest. Most CRM platforms, including ContactHoney, support CSV and VCF (vCard) import. If you're coming from another CRM, check whether they offer a direct export in a compatible format.

Step 6: Assign Next Actions

After your contacts are in, spend 30 minutes going through your active list and adding a task to each one: what's the next thing you need to do with this contact, and when? This step is what turns a contact database into a live CRM.
