How Flat-Rate CRM Pricing Changes the Way Teams Work

Per-seat pricing shapes team behavior in subtle, damaging ways. Flat-rate pricing removes those distortions. Here's what changes when the whole team has access.

When I was building ContactHoney, one of the first decisions I made was that the pricing would be flat -- one price, whole team, no per-seat math. It wasn't just a positioning decision. It was a product design decision, because per-seat pricing creates behavioral distortions that most businesses never notice until they think about it directly.

The Shared Login Problem

When seats cost money, teams share logins. It's rational: why pay for two seats when one person can log in and hand off? The problem is that shared logins destroy your data quality. You can't see who did what, when. Activity attribution is broken. You have no audit trail.

Flat-rate pricing eliminates the economic incentive to share logins. Everyone gets their own account. Activity is attributed correctly. The data you actually need to run your business is the data you actually get.

The "Does She Really Need Access?" Problem

With per-seat pricing, every new user is a budget conversation. Does the office manager really need CRM access? What about the part-time contractor? The founder who wants to check pipeline occasionally?

These conversations have a cost beyond the dollar amount. They create friction around adoption, they exclude people who have useful context, and they signal that the CRM is a tool for some of the team, not all of it.

When access is free to add, everyone who might benefit gets access. Adoption goes up. Data quality goes up. The whole team works from the same information.

The Offboarding Problem

Per-seat pricing creates a perverse dynamic when someone leaves. The seat becomes a cost center the moment they walk out the door, but their CRM account holds valuable history. Teams often leave the account active (paying for a ghost seat) or delete it immediately (losing the history). Neither is good.

With flat-rate pricing, there's no urgency to deactivate the account for financial reasons. The history stays accessible. The transition happens on your terms.

What Full-Team Access Actually Looks Like

When everyone on the team has a CRM login:

  • Customer service sees the sales history before they talk to a client
  • Marketing can see which campaigns are generating leads that close
  • Operations knows what's been promised before they start delivery
  • Leadership has pipeline visibility without scheduling a status meeting

That cross-functional visibility is the real value of a CRM. Per-seat pricing gates it. Flat-rate pricing delivers it.

ContactHoney is $19.95/month for up to 50 users. Add your whole team. Let the data flow the way it should.
